What AI cannot do for your wedding planning
Seven things no AI takes off your plate, and why that is a good thing. An honest boundary from people who build an AI wedding planner themselves.
We build an AI wedding planner ourselves. That makes this article either especially untrustworthy or especially useful, depending on how honest we are. So here is the attempt: what AI cannot do for wedding planning, including where that contradicts our own product.
The reason is simple. If we hide the limits from you, you will find them yourself three months before the wedding, and the damage to trust will be larger.
1. Judge taste
An AI can tell you that pampas grass peaked in 2025 and has been in less demand since. It cannot tell you whether it suits you.
This is not a technical gap that closes with the next model. Taste is not a calculation, it is a decision you answer for. Any recommendation that claims more than “this is currently common” is pretending to know something about you that it cannot know.
In practice: collect images, notice what you keep coming back to, then decide. An AI can help you sort what you collected. Choosing is yours.
2. Actually judge a venue
On paper, venues compare neatly: capacity, price, travel, facilities. What does not compare is what you only notice on site.
Whether the room feels full or empty at your guest count. Whether the acoustics allow conversation or everything echoes. Whether the walk from the car park is bearable in rain. What the toilets smell like. Whether the person showing you round will be there on your day.
An AI can hand you the right questions, and that is worth a lot. The answers you have to hear yourself, along with the feeling in your stomach while you hear them. Our 52 questions for a venue visit are built for exactly that: a tool for your visit, not a substitute for it.
3. Negotiate
Almost everything at a wedding is negotiable, and almost nobody negotiates. A weekday date, a package without decoration, a discount for cash, an hour of overtime waived: all of that emerges in a conversation where two sides weigh how badly they want the deal.
An AI can give you reference prices so you know whether a quote is normal. It can suggest wording. It cannot be on the phone and cannot sense the moment the other side would give way.

4. Know current, regional prices
This is the most common source of error, and a treacherous one, because the answers sound plausible.
Language models mix numbers from different years, countries and price levels. If ChatGPT tells you a wedding photographer costs €1,200, that may have been true for a small town in 2023 and be off by half for Munich in 2027.
What helps: only take numbers from sources that carry a date and a reference. A calculator with maintained values like our wedding budget calculator qualifies; a chat window does not. And in the end only a quote with your date is binding.
5. Legal matters and official deadlines
Which documents the registry office requires for your notice of marriage depends on your municipality, your nationality, your marital status and where you were born. These rules change, and they are not the same everywhere.
An AI gives you an answer that is right for the average case. If one of you was not born in Germany, has been married before or holds another nationality, the average case turns wrong quickly.

6. Be there on the wedding day
On the day itself nobody is ticking off tasks any more. It is about someone fetching the photographer for the cake, walking your aunt to the right table and telling the bride everything looks fine.
No tool can do that, ours included. Which is why our wedding checklist carries it as its own item: name one person who is the contact for every supplier on the day, and make sure it is not you. Witness, friend, hired day coordinator, it does not matter. But a human.
7. Make the decision
The most important point, and the one where we would be most tempted to oversell.
An AI can sort options, show consequences and take the arithmetic off your hands. It cannot tell you whether to celebrate small or large, whether your aunt gets an invitation, or whether the photos or the food matter more to you. Those are value judgements, and they belong to you.
Any tool that takes those decisions away plans an average wedding. That is presumably not what you wanted.
So what is left?
Quite a lot, and precisely the part couples describe as draining:
- Knowing what comes next without constantly checking whether you missed something
- The follow-up calculations when the guest count changes
- Keeping track of deadlines nobody reminds you about
- Finding information again without digging through old emails
- First drafts of text you would rather not start from scratch
That is not a small remainder. It is most of the work, just not the part you remember afterwards.

Three warning signs of a wrong AI answer
To take with you, whichever tool you use:
- A specific price with no source and no year. Always check.
- The name of a supplier in your city. May be invented. Always look it up.
- A statement about registry office deadlines or documents. Only the authority is binding.
All three sound exactly as convincing as a correct answer. That is the problem, and it is why we wrote this article.
